CallRail to Data Studio (ex Looker Studio): FAQ

Answers to common questions about connecting data to spreadsheets, dashboards, AI assistants, and reporting tools with Catchr.

How do I connect CallRail to Looker Studio with Catchr?

Use your CallRail API key to add the account to Catchr. Open the Catchr CallRail connector in Looker Studio, authorize your Google account, select the connected source, and create a report. Start with call ID, start time, source, duration, answer status, and lead status to understand both volume and quality.

Which CallRail data can I report on?

Catchr exposes call records with call IDs, timestamps, duration, direction, answer and voicemail information, marketing source, tracking number, campaign parameters, tags, and lead status where available. These fields let you compare sources by the calls they generate. Keep a unique call ID in detailed tables so repeated rows do not inflate totals.

Are all CallRail calls counted as qualified leads?

No. A call record, a first-time caller, and a qualified lead are different measures. Use the first-call field to identify a caller’s first call to the company and the lead-status field to distinguish scored leads from other calls. An unanswered call or a long call is not automatically a qualified lead.

Can I compare answered calls, missed calls, and voicemail?

Yes. Use the call answer and voicemail fields, together with direction, to define the groups you want to compare. Keep inbound and outbound calls separate when evaluating response performance. Apply the same classification as your CallRail report instead of assuming every call without an answered flag belongs in the same category.

Why are keywords or campaign details missing from some calls?

Those details depend on the tracking setup and the information available for the caller. Website session trackers can provide landing pages, campaign parameters, and click identifiers, while keywords are only available for supported paid sources. A blank keyword does not mean the call had no marketing source; inspect the tracker and attribution fields together.

Why do call totals differ between Looker Studio and CallRail?

Match the account or company, time zone, date range, call direction, tracker, and lead-status filters first. Count distinct call IDs when a blend or tag breakdown can repeat records. Do not sum a caller’s total-calls field across individual call rows, because that repeats a caller-level count.

Can I calculate cost per lead with CallRail and Google Ads?

Yes. Add Google Ads spending and map the relevant campaigns to CallRail’s tracking data. Aggregate both sources to compatible dates and campaign keys before blending. Divide spend by the lead measure you have defined, such as qualified inbound leads, and keep it distinct from cost per call or Google Ads’ own attributed conversions.
