How to export your report in PDF ?

Looker Studio is a great tool for making a dashboard, using and analyzing your data, and making the most of it! When a user needs access to it, you can use the share feature of the tools to send them an url.

But sometimes, you need to share a static version of the report, or you want to share it with someone that can't access Looker Studio. One way to do this is to export your report to a PDF file.

In this tutorial, I'll guide you through Looker Studio to export your dashboard as a PDF file.

Open your report and configure it:

The first thing to do is to open your report and set up the filter you need. If you have multiple pages, you can set up a dynamic filter on each. Looker Studio will keep them as long as you do not refresh the page in your browser. That means that you can filter on a campaign containing only "branding", change pages, create your pdf file, and still have your filter on branding campaigns.

Once you have your data set up, you can seek the PDF export.

Configure the PDF export:

On Looker Studio, you have two ways to reach the PDF export configuration :

  • From the menu File -> Download as -> PDF.
  • From the Share button, at the top right of the page. Click on the Arrow to have more options to share and select Download Report.

Once one of the two methods is done, Looker Studio will show this pop-up:

As you can see, you can choose to download all the pages or only the one selected. Check only the one you want to export.

In the additional options, you can :

  • Ignore custom background color -> All backgrounds will become white once your report has been exported.
  • Add a link back to the report -> Include a link to the report at the end of the PDF file generated.
  • Password protect report -> Once activated, you'll be asked to choose a password to protect the report. Nobody will be able to access the report without this password.

Once the configuration is done, click on download and wait a few minutes for Looker Studio to create the PDF file and launch the download.

Bonus: Schedule the PDF export and receive it by email.

It can be convenient to receive your report by email at a given time, and you can even choose to receive it at the selected recurrence. And you can even choose multiple emails where to send it.

To create your task that will send your report automatically, follow these steps :

  • From the Share button, at the top right of the page. Click on the Arrow to have more options to share and select Schedule email delivery.
  • Choose the recipient (you add more than one email here, and you can add an email that does not have access to the report).
  • Select the checkbox Customise email subject and message if you wish to do so. You can add a custom message and custom object. Otherwise, they will be automatically filled by Looker Studio.
  • Select the pages to export the PDF and send it by email.
  • Select the start time: when do you want your first email to be sent?
  • Select the scheduled delivery. You can choose to receive your report every day or every week, but you can also configure it to match your need. For example, you can receive your report on Monday and Tuesday every two weeks :
